Provides support services to program staff.
Key Roles Based on Position:
A.
Achieves enrollment objectives by recruiting and engaging individuals 1.
Establishes recruiting requirements by studying and understanding program objectives and goals.
2.
Contacts individuals by phone.
Delivers prepared recruitment and engagement scripts to encourage potential customers to enroll in program services.
Obtain customer information.
3.
Answers telephone professionally, assesses situation, gathers needed information and/or determines initial needs, responds to questions, refers to appropriate programs, makes appointments, routes calls to appropriate resources.
4.
Determines individual's qualifications by interviewing individuals, analyzing responses and comparing individual's needs to program requirements.
Identify and overcome objections.
5.
Recruits individuals into programs and guides them in completing paperwork.
6.
Identify individuals to be contacted for appointments, enrollment in programs, etc.
, from databases and lists and contact individuals using all means possible (e.
g.
, phone, internet, Pinger, etc.
) 7.
Handle and resolve individual's questions and complaints regarding programs and services 8.
Complete call notes and call reports as necessary and updating them in the appropriate database(s).
Record details of comments, inquiries, complaints and actions taken.
9.
Identify and escalate priority issues.
10.
Process applications and forms requested and returned by individuals.
B.
Assist Career Planner in provision of case management services 1.
Contact referred and enrolled individuals to engage and follow-up on program activities and requirements.
2.
Contact individuals the day before their orientation appointment to remind them of their scheduled appointment.
3.
Contact individuals that miss their orientation appointment to reschedule the orientation appointments.
C.
Provide Program service support 1.
Assemble program and orientation packets 2.
Complete processing functions (e.
g.
, timesheets, job search forms, etc.
) and review materials processed to assure accuracy and completeness.
3.
Scan materials correctly and timely 4.
Administer/proctor assessment tests 5.
Schedule appointments and orientations 6.
Set-up orientation videos or IT appointments with individuals 7.
Enter comments/documentation in databases (e.
g.
, TESSA, CARES, etc.
) D.
Maintain neat and accurate records and files 1.
Complete required documentation in a neat, accurate and appropriate manner.
2.
Report progress and site assessments using required case management systems.
3.
Enter pin notes into case management systems accurately for every contact with an individual in a timely manner.
E.
Participate in multi-disciplinary workforce development team 1.
Regularly communicate status of customers and work/training sites with team members 2.
Assist in program evaluation, quality improvement and other team required activities.
3.
Attend staff meetings and participate in required training and professional development activities.
4.
Perform other duties as assigned.
Requirements:

30) Experience serving the public.
Excellent communication skills, including verbal and proper grammar.
Ability to work with others as a team.
Good computer skills.
