59 PM CentralPOSITION SUMMARY Provides administrative clerical and receptionist support to the Parks and Forest Department office.
ESSENTIAL FUNCTIONS (Illustrative only) Performs timber and firewood sale administration as mandated by State Statutes Ensures that notices of sales contain all necessary information and are accurately and appropriately distributed and advertised Assists in bid opening, awarding, and documentation Ensures that contracts are in proper format with required signatures Ensures that loggers' letters of credit and worker's compensation coverage are in order Establishes and maintains documentation files Bills and sends out monthly statements to loggers Monitors logger accounts for nonpayment and advises action to accomplish payment of past due balances Tracks and notifies loggers of needed extensions, applies increases as mandated by timber sale contracts, and releases bonds at close out of timber sale Provides timber sale closeout information to Wisconsin DNR (Department of Natural Resources) foresters Maintains ledgers of logging sales, and accurate timber sale records for state audits Records, collects, and maintains departmental payroll information Maintains time utilization records for grant reimbursement Forwards necessary records to Finance Department on a timely basis Issues County vehicle entrance passes and Tower Ridge Recreation Area Winter Passes Maintains database of issued passes to determine reduced cost for additional passes and track park use as well as compliance issues Inventories and orders supplies Addresses inquiries from public pertaining to pass issuance and payments Coordinates all picnic shelter reservations at Harstad, Coon Fork Parks, Lowes Creek, and chalet reservations at Tower RidgeMaintains internet reservation system updating and troubleshootingPerforms financial reconciliation on a daily/monthly basis Performs reception and counter services, answering phones, filing, photocopying, etc.
for department and backup support for Land Conservation DivisionUpdates and maintains the department website as needed, and phone menu system with seasonal information including trail conditionsReceives and responds to complaints, concerns, and inquiries by disseminating information or referring issues and concerns to appropriate party for resolutionSends out request for bids prior to park season annually for septic and garbage servicesNotifies and contacts applicants for seasonal park personnel recruitment and orientationInventories, orders, and budgets for general supplies for administrative/field/park officesPrepares necessary forms to assist rangers in park managementComposes and/or types letters, forms, reports, memoranda, correspondence, and other materialsServes as committee clerk for the Parks and Forest Committee and the Parks and Forest Citizens Advisory Committee Prepares agenda items and supporting documentation Compiles packets ensuring all necessary information is present and in proper format and distributes accordingly Prepares and distributes minutes of meetings to appropriate people Compiles and prepares complex forms and reports Enters documentary and numerical data into computer Compiles park survey data and performance management results Maintains files and records Assists in preparing and monitoring department budget by compiling budgetary information, drafting budget, entering information into proper account and generating reports Prepares purchase requisitions Collects and receives revenue, compiles and verifies deposits into multiple accounts Verifies department bills, assigns account numbers to vouchers to pay bills, balances statements and calculates line item balances Prepares and submits state aid grant reimbursement request for such programs as snowmobile, ATV, and wildlife trails, and forest roads Tracks violation notices issued in the County parks and on County forest land for payment and follows up with appropriate law enforcement agencies to pursue enforcement Performs other related duties as assigned or required REQUIRED QUALIFICATIONS High School diploma or its equivalent (GED) Three (3) or more years of previous paid, full-time administrative support experience including record keeping, information dissemination, and extensive interaction with the general public Proficiency in personal computer use with Microsoft Office software Experience with handling money Proficiency in personal computer use with Microsoft Office, software LICENSES, CERTIFICATES, AND OTHER REQUIREMENTS Appointment will be conditional upon successful completion of a criminal background checkEau Claire County is not only a great place to work, but has many exciting benefits!Paid Time Off (PTO):
